People and Culture Coordinator – 1 Year Contract

The Opportunity  

 Reporting to the Vice President, People and Culture, this position provides proactive administrative support for daily HR activities, including recruitment, on-boarding and offboarding, employee relations, learning and development, and performance management and a variety of HR-related projects.

PRINCIPAL RESPONSIBILITIES

  • Ensures compliance regarding regulations and laws affecting human resources management by developing, implementing and continuously evaluating policies and processes and provides employees with information regarding established policies and processes
  • Assist with administration of annual performance management process
  • Assists hiring managers with the recruitment process including collaborating to define job requirements and job postings, drafting job descriptions, working with recruitment consultants as required, sourcing candidates, screening resumes, interviewing, participating in the selection process, conducting reference checks, preparing and presenting offers, all in accordance with established recruitment practices and relevant legislation
  • Develops and manages onboarding program to ensure smooth transition for new and seconded employees; provides some training to new hires as required; ensures other staff members are included in the onboarding of new staff and schedules orientation meetings
  • Provides IT with information on new hires and terminations and coordinates with Executive Assistant, Finance the purchase and delivery of IT equipment and cell phone
  • Researches and recommends providers for specific training and development requirements for staff
  • Manages the performance management process, including coordinating annual performance reviews, setting timelines, and ensuring adherence to deadlines.
  • Monitors and tracks performance review completion and outcomes, providing reports to senior management as needed.
  • Manage the requirement of any keys and security pass cards with building security and management
  • Works with City Hall building security to obtain access to City Hall, Metro Hall etc. as required, maintaining a list of employees with such access
  • Provides support to the Diversity, Equity and Inclusion (DEI) and Talent Management Committees with respect to the implementation of People & Culture initiatives
  • Participates in ongoing personal development and continuous learning by involvement in professional associations, networking, self-study and attending seminars, courses and workshops
  • Provides administrative support to the Vice Presidents, People & Culture and Portfolio Strategy & Asset Management, as required
  • Coordinate and maintain schedules for the Vice Presidents, as required, including arranging meetings, managing conflicts, and ensuring timely communication with internal and external stakeholders.

CANDIDATE ATTRIBUTES

To be successful in this role, you will have the following skills and qualifications:

  • 1-3years of relevant, progressive business experience with a proven track record of delivering results
  • Post-Secondary education with a Human Resources focus, CHRP designation preferred
  • Previous experience and knowledge of human resources functions including recruitment and selection, employee relations, performance management, talent management and/or learning and development.
  • Strong knowledge of Employment Standards Act, Human Rights Code, Occupational Health & Safety Act and any other relevant legislation
  • Strong proficiency in MS Office applications, HRIS application, Adobe, etc. with comfort and experience using Microsoft Outlook and calendar management
  • High level of individual initiative and ability to work without direction
  • Excellent interpersonal, presentation, verbal and written communication skills
  • Ability to build credibility and establish relationships, confidently interacting with all levels of the organization
  • Ability to follow through and complete overlapping projects and initiatives with a positive impact on results and objectives
