Job Description

Objective:

To provide day-to-day administrative support, HRIS maintenance and to assist in the Human Resources (HR) activities and the Director of Human Resources.

Key Deliverables:

  • Ensuring that the HR activities and day-to-day administrations are facilitated efficiently and in a timely manner
  • Maintaining quality and consistency of HRIS database information

Key Responsibilities:

Human Resources Support (45%):

  • Collaborates with Human Resources team to assist in preparing job interview packages and assists in guiding applicants through the practical assignments;
  • Participates in the selection process such as preparing and gathering all documentation as part of the approval process;
  • Prepares and maintains new hire orientation packages;
  • Assists in the new hire orientation process including compiling all compliance documents;
  • Assists in benefit plan processes, supporting employees with their requirements with the insurance broker;
  • Supports data collection for HR metrics and HR reports as requested;
  • Provides Friendship Centre support as required;
  • Collects Monthly timesheets
  • Acts as a Brand Ambassador for OFIFC at recruitment events such as job fairs;
  • Assist and support Director of HR and the team on HR special projects

Administrative and Clerical Support (45%)

  • Coordinates and sets up internal/external meeting room logistics, workshops, trainings related to HR (ex. Job Evaluation Committees, HR Management training, benefits information sessions, etc.)
  • Maintains and files OFIFC’s HR official records (hard copy and electronic-copy, central files, reports, correspondence, emails, etc.) in accordance with OFIFC’s Records Management system and as per procedure;
  • Prepares and distributes meeting minutes or post meeting briefing notes as required;
  • Updates and maintains HR contact and distribution lists;
  • Researches, obtains quotes, purchases and maintains HR materials;
  • Prepares and formats a variety of HR word documents, spreadsheets and presentations as required;

HRIS Maintenance (10%)

  • provides analytical and technical support to the Human Resources team related to HR systems
  • Input data and maintaining integrity of employee information entered in HRIS
  • Assists in digitization of Personnel Records Management;

Education/Work Experience:

  • Completed bachelors degree in business, human resources management, organizational psychology, or another relevant discipline, and/or equivalent professional experience.
  • Minimum 1 year of administrative experience

  • Experience with Virtual Meeting Platforms (MS Teams, Zoom etc.)
  • Outstanding proven organisational skills (includes time, space and task management)
  • High proficiency in Microsoft Office Suite and HRIS systems
