Job Description
The Centre for Independent Living (CILT) is a non-profit, community-based resource organization run by people with disabilities, for people with disabilities. Due to internal growth, we are seeking an Agreement & Resource Administrator to support participants and staff of the Direct Funding (DF) Program, a unique provincial program which enables eligible participants to employ and schedule attendants of their choosing, with the support of government funds (www.dfontario.ca). CILT administers the funds under guidelines established by the provincial Ministry of Health.
Reporting to the Communications & Resource Manager, your role will include:
1. Agreement Renewals
- Preparing and distributing Agreement Renewals; monitoring deadlines and reviewing incoming agreements for completeness; updating the MS Access database
- Liaising with other DF staff on outstanding agreement documents
- Connecting in writing and by phone with participants and other DF provincial staff on issues relating to program agreement and policy
- Assisting participants with using electronic signature software
2. Statistics
- Overseeing the quarterly statistics process; training provincial staff in tracking statistics; receiving, analyzing and synthesizing provincial statistics, identifying trends, and generating reports
- Developing and preparing reports as needed for the Provincial Advisory Committee (PAC)
- Preparing monthly and quarterly trend reports as needed
3. Communications
- Posting updates to the DF website; preparing and distributing program correspondence by email; ensuring all communications meet accessibility standards and best practices
- Collaborating with the program newsletter and CILT Annual Report teams, editing content, liaising with the freelance designer and printer
- Managing the Self-Manager Network; updating and distributing the network list
- Providing administrative support for PAC
4. Special Projects
- Developing or managing special projects, such as resource development, events, participant surveys and data and productivity improvement projects as required
- Acting as liaison for special projects with internal staff or external third parties
5. Administrative and DF Team duties including but not limited to:
- Assisting the Senior Program Manager in scheduling meetings, distributing committee communications
- Maintaining filing system, photocopying, compiling minutes, note-taking or assisting other staff or consumers as required
- Acting as backup for Database Administrator on specific tasks such as exporting and manipulating complex data from the database when required
You bring:
- A post-secondary degree or diploma and/or equivalent years of work experience
- Minimum 2 years’ administrative experience and utilizing manual and digital filing systems
- Strong computer skills with experience using databases and MS365 including Word and Excel
- Strong internet research, analytical and organizational skills
- Ability to manage large amounts of data and manipulate data using Excel formulas and functions
- Demonstrated knowledge of how to develop accessible communications
- Initiative and the ability to work independently and as part of a team
- Strong customer service orientation
- Strong verbal and written communication skills to present information, generate correspondence and document standard operating procedures
- Empathetic, tactful and professional telephone manner
- Exceptional attention to detail
- Lived experience of disability is a strong asset
